1. Overview
This Privacy Policy explains how Easy Books collects, uses, stores, and protects information when you use the Easy Books application and related services.
2. Information we collect
We may collect and process:
- Account information, including your name, email address, company details, role, and authentication settings.
- Bookkeeping information you enter or import, including transactions, categories, statements, journal entries, attachments, and reports.
- Accountant assignments and invitations that you authorize.
- Security and activity information, including sign-ins, IP addresses, session activity, audit events, and changes made in the application.
- Access-request anti-abuse information, including IP address, browser details, submission timing, and Cloudflare Turnstile verification results.
- Administrator-contact messages, including your name, email address, company, selected topic, message, and anti-abuse metadata.
- Email delivery information for account notices, invitations, password resets, and security messages.
3. How we use information
We use information to:
- Provide, maintain, and improve Easy Books.
- Authenticate users, protect accounts, prevent abuse, and investigate security events.
- Process imports, generate reports, and provide bookkeeping features requested by users.
- Send service, security, invitation, and password-reset communications.
- Comply with applicable legal obligations and enforce our Terms of Use.
4. Sharing and access
We do not sell personal information. Information may be shared with service providers that help operate the application, such as hosting and email-delivery providers, subject to appropriate confidentiality and security obligations.
Public access requests use Cloudflare Turnstile to distinguish legitimate visitors from automated abuse. Cloudflare may process technical request information under its own privacy terms for that purpose.
Company users may authorize accountants to access their books. An authorized accountant can view and modify the company information available through the account until that access is removed.
5. Cookies and sessions
Easy Books uses essential cookies and similar session technologies to keep you signed in, protect forms, enforce security controls, and remember authenticated account state. These technologies are necessary for the service to operate.
6. Data security
We use administrative, technical, and organizational safeguards designed to protect information, including encrypted connections, access controls, secure password hashing, session protections, activity logging, and optional authenticator-based two-factor authentication. No system can guarantee absolute security.
7. Data retention
Information is retained for as long as needed to provide the service, maintain security and audit records, meet legal obligations, resolve disputes, and enforce agreements. Deleting an account may remove associated application data, subject to required backups and legal retention periods.
8. Your choices
You can review and update available account information from your profile, manage active sessions and two-factor authentication, control accountant access, and request account assistance from an administrator. Company administrators are responsible for responding to requests concerning data they control through Easy Books.
9. Children’s privacy
Easy Books is intended for business and professional use and is not directed to children under 13.
10. Changes to this policy
We may update this policy as the service or applicable requirements change. The effective date at the top of this page identifies the latest version.
